- Purpose of Role
To effectively assist the administration and quality process within the confines of internal and external requirements. This role forms part of the operations team within the office.
Key Result Areas
- To complete any general administrative duties required by the employer.
- To maintain accurate and timely manual and electronic client records.
- Responsible for ensuring that all paperwork is of high quality and submitted within set timescales.
- Ensure file quality meets all stakeholder requirements.
- Undertake staff training on systems as required.
- Maintain and develop internal and external communications.
- Meet audit expectations for all stakeholders.
- To comply with all company processes and procedures.
- Responsible for ensuring that all paperwork accepted into the Administration department is of a high quality and is submitted within set timescales.
- Responsible for taking appropriate action to ensure the quality of paperwork meets agreed standards and is submitted within set timescales.
- Roles may vary in some detail between offices and flexibility is a prime requirement of staff.
- Achieving qualifications within given timescales, whilst maintaining quality in delivery.
- Act in a professional manner at all times when dealing with customers both internally and externally. (Colleagues, individuals and outside agencies)
- Ensure that office-based staff is kept fully informed of candidate progress at all times.
- Committed to continuous improvement – personal and organisational.
- Increase the profile of the company by assisting in the marketing of Work Based Learning and other services
- Support the company’s social media exposure adhering to common practices.
- Ensure equality and diversity procedures are fully adhered to.
- Contribute towards the development of an inclusive learning environment.
- Carry out any additional duties as reasonably requested by line management.
Demonstrable educational achievement commensurate with the needs and scope of the role.
- Good level of Maths and English
- Proficient knowledge of IT packages such as the Microsoft Suite.
- Good administration skills
Experience
- IT literate. (Word, Excel, Access)
- Previous administration experience of maintaining comprehensive manual and electronic data
- Used to working to deadlines
- Numerate and literate
- Follows procedures and adheres to deadlines.
- Assertive in relationships with staff and clients.
- Organised and structured, remaining focused on priorities.
- Attention to detail.
- Takes responsibility for the quality of the administration process.
