Overall Purpose of Job:
Our client is looking for a Head of Operations to effectively lead the operational delivery of apprenticeship programs, ensuring compliance with QAA and OfS standards as well as funding agencies' guidance. This role involves managing Training Officers, Curriculum Managers, Recruitment processes, and administrative functions, ensuring all staff DBS records are current and up-to-date.
The Head of Operations will support the improved performance, productivity, efficiency, and profitability of the organization through the provision of effective methods and strategies. They will play a crucial role in the strategic development and operational management of apprenticeship programs at both university and degree levels.
Key Responsibilities:
Operational Management:
- Oversee the operations of training centers, providing guidance on issues as they arise.
- Manage the Training, Curriculum Management, Recruitment, and administrative processes to ensure efficient workflow.
- Monitor, manage, and maintain compliance with learning funding rules, regulations, and procedures, including QAA and OfS standards.
- Maintain and update the organization’s Learner/Employer Handbook, ensuring all information is current and accurate.
Process Improvement:
- Improve processes and policies to support organizational goals.
- Formulate and implement policies and procedures to maximize outputs.
- Assist in the development and implementation of strategic plans for operational activities.
- Performance Monitoring:
- Conduct monthly one-on-ones and team meetings to drive improvement and meet completion targets.
- Monitor and guide team and departmental training needs, advising and sourcing relevant training as needed.
- Ensure performance and improvement objectives are achieved by providing regular feedback and support.
Data and Reporting:
- Monitor program starts, leavers, and achievers to ensure progress against contracts.
- Report monthly on key data and performance objectives.
- Produce and present staff development, performance, and statistical reports as part of the organization’s ongoing self-assessment process.
Quality Assurance:
- Participate in the Self Assessment Report (SAR) and Quality Improvement Plan (QIP) processes.
- Ensure all operational activities comply with the standards set by QAA and OfS.
- Lead efforts to maintain high-quality standards across all apprenticeship programs.
Staff Management:
- Line manage staff as required, providing leadership and support to ensure team effectiveness.
- Ensure that staff and learners’ personal information is treated with strict confidentiality in accordance with GDPR and Child Protection principles.
Person Specification:
- Strong leadership and influencing skills.
- Ability to communicate effectively at all levels, both internally and externally, with various stakeholders.
- Ability to adapt to the needs of staff, learners, and employers.
- Proven ability to manage individuals and teams effectively.
- Sound knowledge of work-based learning and apprenticeships.
- Knowledge of ESFA contracts and funding rules.
- Understanding of QAA and OfS standards and regulations.
- Familiarity with the fundamentals of Standards and End-Point Assessment (EPA).
