Job Purpose
This is a new role within the organisation, which will sit within our clients central services team. They are seeking someone to manage the processes associated with bidding, including: opportunity identification and qualification; creating and managing the pipeline of bidding opportunities; bid writing; supporting with content writing for the organisation and delivering the bid strategy.
Main Duties:
- Develop and introduce a comprehensive system of identifying and tracking bidding opportunities, across all current and potential service areas, using all appropriate portals and contract notification websites.
- Develop and maintain a comprehensive pipeline of identified opportunities from initial interest through to bid submission.
- Organising weekly business development calls, including preparing and delivering pipeline updates
- Complete initial bid/no bid qualification for opportunities at the appropriate point working closely with Directors.
- Secure approval to bid for successful projects and putting together a work plan to achieve successful tender outcomes
- Ensure that project governance requirements are fully incorporated into bid plans, and manage the process of approvals and signoffs at relevant stages, including recording of decisions taken
- Manage the process of final approval for all bids
- Plan and manage the final production and submission of bids, ensuring consistent quality and appearance, and meeting bid timetable requirements
- Being the principal point of contact within tendering for initial enquiries from clients, partners and suppliers
- Record and capture all bid documentation and hold this in a document library.
- Manage and coordinate the compliance arrangements of the programme, ensuring that internal and external communication and reporting arrangements are maintained to a high standard.
- Develop and implement effective monitoring and reporting systems to ensure that the requirements of contracts are met.
- For large bids, set up mobilisation actions that will be needed.
- Where business needs change, to undertake other responsibilities which are of a commensurate level outside the terms of this role profile. This may include writing content for marketing requirements/website updating.
- To instil a culture of safeguarding best practice to ensure the safety, protection and wellbeing for all participants, customers, clients, partners, volunteers and staff.
Experience:
• Effective interpersonal skills
• Excellent written communication skills
• Track record of industry related tender wins (apprenticeships/employability)
• Able to work under pressure to tight deadlines
• Ability to challenge and prioritise activities within bids to meet milestones
• Good knowledge of techniques for scoping, planning, monitoring and controlling
projects
• Evidence of successful delivery in complex, fast moving and high-pressure
environment
• Organisation skills, problem solving and ability to work under own initiative.
